APPOINTMENT POLICIES

Therapy Room Appointments
(Sauna, Red Light Therapy, Cold Plunge, and Other Wellness Services)


We kindly ask for at least 24 hours' notice if you need to cancel or reschedule your appointment. This allows us the opportunity to offer the appointment time to another client.


Non-Members:
Appointments canceled less than 24 hours before the scheduled appointment time will be charged in full.


Appointments canceled more than 24 hours in advance will be refunded minus any non-refundable payment processing fees charged to Mantra Wellness.


Members:
Appointments canceled less than 24 hours before the scheduled appointment time will count toward one of the member's weekly sessions.


Root Cause Wellness Consultations

At Mantra Wellness, appointment times are reserved specifically for each client. Because of this, we kindly ask for at least 24 hours’ notice for any cancellations or rescheduling requests. 


Appointments canceled with less than 24 hours’ notice, as well as missed/no-show appointments, may be subject to the full appointment fee. 


We understand that emergencies and unexpected situations can happen. Our goal is simply to protect the time set aside for both our clients and our small business. By scheduling an appointment with Mantra Wellness, you acknowledge and agree to this policy.


Repeated late cancellations may require prepayment before future appointments can be scheduled.


Returning Client Policy

Clients who have not been seen for 12 months or longer may be required to schedule a new initial consultation rather than a follow-up appointment.


Additionally, clients who did not complete recommended testing, did not attend a follow-up appointment, or whose prior records are incomplete may be required to schedule a new initial consultation regardless of the time elapsed.


This policy ensures adequate time for updated health history review, record review, assessment of current concerns, and development of an appropriate wellness plan.


Appointment type determination is at the discretion of Mantra Wellness.

MEMBERSHIPS

Memberships are non-transferable and may only be used by the member listed on the account.


Unused sessions do not roll over unless otherwise specified in the membership agreement.


Mantra Wellness reserves the right to modify membership offerings, pricing, and benefits with reasonable notice.

RETAIL PRODUCT RETURNS

Due to safety, quality control, and product integrity standards, all retail sales are final.


Mantra Wellness does not accept returns, exchanges, or refunds on supplements, food products, beverages, personal care items, wellness products, or other retail merchandise.


If a product is defective, damaged, or incorrect at the time of purchase, please notify us within 3 days and we will work with you to resolve the issue.


Discounted or clearance items are final sale and are not eligible for return or exchange.

HEALTH & WELLNESS DISCLAIMER

Mantra Wellness provides wellness services and educational wellness coaching. Information provided through Root Cause Wellness consultations, educational materials, wellness programs, classes, social media content, or other services is intended for educational purposes only. 


Mantra Wellness does not diagnose, treat, cure, or prevent disease. 


Clients should consult with their licensed healthcare provider regarding medical concerns, diagnoses, medications, treatments, or medical emergencies. No practitioner-client relationship is created beyond the scope of wellness education and coaching services.

ASSUMPTION OF RISK

Participation in wellness services, including but not limited to infrared sauna, red light therapy, cold plunge therapy, contrast therapy, and other wellness activities, involves inherent risks.


By participating in these services, clients voluntarily assume all risks associated with participation, including but not limited to dizziness, dehydration, changes in blood pressure, falls, burns, cold-related injuries, aggravation of existing medical conditions, or other unforeseen reactions.


Clients are responsible for determining whether participation is appropriate for their individual health circumstances.

LIMITATION OF LIABILITY

To the fullest extent permitted by law, Mantra Wellness, its owners, employees, contractors, and representatives shall not be liable for any injury, loss, damage, illness, or adverse outcome arising from participation in services, use of facilities, purchase of products, or reliance upon educational information provided.


Clients participate voluntarily and assume responsibility for their own health decisions.

RIGHT TO REFUSE SERVICE

Mantra Wellness reserves the right to refuse or discontinue service to any individual for safety concerns, inappropriate behavior, harassment, intoxication, repeated policy violations, or circumstances that interfere with the safe operation of the business.

PRIVACY

Client information will be handled with respect and confidentiality. Mantra Wellness will not sell client information to third parties. Information may be shared only when required by law or with the client's written authorization.

CHANGES TO TERMS

Mantra Wellness reserves the right to update these Terms & Conditions at any time. Continued use of services constitutes acceptance of any revised terms.
